Estate Policies

You are visiting a historical, luxury private estate.

Given that SugarBear Estates was built over 80 years ago, some of its charm comes from the period-appropriate ambience, items and amenities. This means there may be unusual or unique experiences within the space. Keep in mind that there are many inventions and advancements that have been introduced to society since the home was originally built in 1941. While we provide many modern comforts, our hope is that you will appreciate the opportunity to step back in time.

We ask that you take a moment to review these policies and direct any comments or questions to your SugarBear Estates contact. Your safety and enjoyment of the property are of great importance to us.

Linens / Laundry
Upon leaving, please put your used or soiled linens in a pile in the bathroom or in the laundry room in or near the cream-colored basket. While we have towels specifically for use on day trips to the creek, etc., we respectfully request that you refrain from taking any other linens away from the property during your stay, and that you leave all linens on the property at the end of your visit.
Smoking / Vaping / Candles
While you are welcome to smoke away from the property, SugarBear Estates and its grounds are a non-smoking environment, including vaping. For safety, candles are also prohibited. Smoking or vaping in and around SugarBear Estates will result in an immediate request to leave and an additional cleaning fee of $250, plus your full room charges.
Quiet Hours
Quiet hours are from 10:00 p.m. to 7:00 a.m. every day. The masonry walls are thick, and loud noises do not penetrate them; however, we ask that you keep in mind that we are located in a community where we respect our neighbor’s right to quiet evenings. This means that no loud music is allowed outdoors.
Pets
Sorry, no pets. To ensure an allergy-free environment, we do not permit guests to bring pets.
Shoes
Please remove all shoes within the main house to protect and preserve the original wood floors. Shoes are allowed on the Saltillo tile surfaces, but please wipe them on mats before entering the space.
Stairs
Access to the bedrooms requires walking up a flight of stairs. We are not required to be ADA (American with Disabilities Act) compliant due to the number of guest rooms we have. If you are travelling with a person who is immobile or needs help climbing stairs, please make our team aware so we can discuss the feasibility of the guest being able to get where they need to be on the property.
Parking
There are two individual parking spots for your convenience. Guests may also park to the side of the main house on the street.
Payment Policy
All reservations made more than seven days in advance of arrival are subject to an advance property hold deposit, which is equal to one night’s stay plus tax. The balance owed will be due seven days prior to the scheduled arrival date. Guests making reservations for arrivals less than seven days in advance must pay 100% of the total room cost and tax for their stay upfront.

Reservations are secured with a Visa, MasterCard, American Express or Discover Card. Checks are accepted but must clear the bank before your reservation begins. Cash is always accepted. Advance deposits will be charged to the credit card on file and are subject to the cancellation policy below.

General Security Deposit
All guests are required to leave a credit card on file with a moderate ($200) security hold in case an item is accidently damaged or broken during their stay. If there are no issues found after the stay, the funds will be fully released within 24 hours of the guests’ departure.
Cancellations
We charge 50% of one night’s stay for cancellations made at least 7 days in advance of your arrival. If the cancellation is made less than 7 days prior to your arrival, no refund will be processed. No refunds are provided for late arrivals or early departures. If you do not arrive within 24 hours of the confirmed reservation date, we will deem your reservation a no-show, ineligible for a refund. Change requests may impact the total cost of your stay. As a small business, we will do our best to work with you, and we ask that you keep in mind that any changes or cancellations may require fees based on the financial impact of your request. Damaged / Stolen Property
At SugarBear Estates we pride ourselves on providing our guests with a comfortable and homey experience. As such, we have furnished each room meticulously and tastefully with beautiful furnishings and antiques, quality linens and suitable décor. We love for all of our guests to have the same opportunity to experience the rooms as they were meant to be. If items are taken, furniture moved extensively or damaged, or excessive trash left around the premises, a minimum charge of $150 will be applied to the credit card on file. In circumstances where items are broken or taken, charges to the guests will be assessed based on the replacement cost of those items. If the damaged property is irreplaceable, the fee will be based on its uniqueness and value. As such, a detailed inventory has been compiled for each room.

If something is broken, damaged or otherwise compromised, please let someone from the SugarBear Estates team know immediately. Use your best judgement when trying to prevent damage to SugarBear Estates.

Lost Property
We ask that you take all of your personal items upon leaving the premises. If we find something that has been left behind, we will contact you so that we can determine the best way to get it back to you at your expense. SugarBear Estates is not liable for any lost or damaged guest property.
PRIVACY POLICY
SugarBear Estates representatives will not access the estate during your stay unless requested or for emergency circumstances. SugarBear Estates is dedicated to protecting your privacy and safeguarding your personal information. Our main purpose in collecting your personal information is to provide you with a streamlined reservation and stay experience, and we only collect information that we consider necessary for achieving that goal. SugarBear Estates takes security seriously. When users make a reservation, we use every precaution to safeguard your information online and offline.
POLICY MODIFICATIONS
SugarBear Estates may modify or change this policy statement from time to time in order to meet changes in the marketplace. This may include the current local, regional and federal regulatory environment or business needs. We aim to satisfy the needs of our guests, property, marketing partners, and service providers.
PHOTOGRAPHERS
SugarBear Estates welcomes professional photographers BY APPOINTMENT for the following shoots only: engagement, wedding, senior portraits, couples, nature and gatherings. Rather than charging a fee, as most venues do, we may ask for approval to share those photos for promotional purposes, and to be tagged in social media/online postings. Let’s help each other!

For liability purposes, we reserve the right to have a SugarBear Estates representative on site when necessary while photos are being taken. Any photographers attempting shoots outside of these guidelines will be asked to leave the property without the option to return. We are strict about the photographic representation of SugarBear Estates, our partners and our guests. We thank you in advance for respecting this.

Parties / Gatherings
All gatherings at the estate without a separate, explicit event contract must be approved in written form by a SugarBear Estates team member. If a party and/or gathering is found to be taking place or to have taken place without written permission during a stay, a fee of up to $3,000 plus any potential damages will be assessed to the credit card on file or taken from the security deposit.
